How do I apply for the Awards in the New ASH Awards site?
Please visit our Open Awards page where all the awards that are open for accepting applications are listed. Click on the Apply to start with your application.
Where can I see my applications, after I have applied for the award?
Once you have applied for an award and accepted the terms and condition, a record for you application is created in draft. You can find your application under My Applications with the appropriate status.
I cannot see my application or nomination on the ASH Awards system
For an award if you are the applicant then your application should start appearing in the My Applications page once you have accepted the Awards terms & condition. If you have nominated someone for an award then your nomination will appear only after you have selected the nominee and clicked on Save & continue button.
I am unable to edit or submit my application
Please check the deadline date for your application. You can edit or submit your application until the application deadline date. Once date has passed, you can only view your application. If you we wish to submit then please contact ASH Awards team
Can I nominate more than one nominee for an Award?
Yes, you can submit any number of nominations for nomination based awards such as Honorific and Mentor Award. Nominations can be submitted from Open Awards page until the deadline date
I am unable to nominate myself for an award?
Nomination based awards does not support self nomination. You can only nominate other person for such awards. If you wish to be a nominee for the award then you can contact someone you know (someone with ASH credentials) who can nominate you for the award or contact ASH Awards team for assistance.
I can’t find the awards I wish to apply on Open Awards for submission page
Only the awards that are open for submission are listed on the Open awards page. If the award is not listed then it means either the application cycle for the award is closed or you are not eligible to apply for the application.
Please contact ASH Awards team for assistance.
How do I know my application has been accepted or rejected?
ASH administrators review all applications received to check if you are eligible for the Award. If you meet all the eligibility criteria, your application will be considered for further review by our review committee.
You will be informed via an email on your eligibility for the Award after the application end date.
I want to withdraw my application but I am unable to withdraw my application?
Only submitted as Final application or nomination can be withdrawn. You will be able to withdraw your Final application until the application end date or before your application is accepted or rejected, whichever is earlier.
If you still wish to withdraw post application end date then please contact ASH Awards team for assistance.
What type of documents I can upload in my application form?
You can upload documents in most commonly used formats such as PDF, DOC, DOCX, PPT, PPTX, XLS, XLSX, JPEG, and TXT.
It is recommended to upload the document in the format mentioned in the help text provided against each requested document in the application form. If not mentioned, please upload the document in PDF version only.
Is there a file size limit on uploading documents?
The maximum file size limit of 4 megabytes (MB) is to ensure faster processing and upload times. Larger files will require more memory and bandwidth to process. This can also be affected by how fast your computer is. The larger the file size that is being uploaded, the longer it can take to process.
For example, uploading 10 images that are about 3MB each, works out to about 30MB to upload. Uploading 30MB can take up to 5 -10 minutes on a fast connection, and much longer on slower DSL or dial-up connections. For best performance, your document should be less than 4MB.
How will I know if my referee has submitted the letter of support for my application?
If you have requested your mentor or divisional chief to upload a letter of recommendation/support for your application, you will receive an email confirmation when your referee submits the document.
Alternatively, you can also check the status of your request in My Applications page against your application.
If the application deadline is nearing and you haven’t received the letter of recommendation then it is advisable that you contact your referee and request them to submit the document at the earliest. If for some reason, your referee is unable to submit the document, you can always ask them to send you the document so that you can upload the document manually in the application form.
How do I know my Letter of intent submitted for an award has been accepted or rejected?
Once you are Letter of Intent (LOI) has been processed, Admin will notify you via an email whether your LOI has been accepted or rejected. Alternatively, you will also see a congratulations message on My Applications page if your LOI has been accepted.
I have submitted Letter of intent but I am not able to find the award in Open Awards for submitting the main application.
For awards with Letter of Intent (LOI), the option to apply for main application is not available from Open Awards page. You can only apply for main application if your LOI has been accepted by ASH Admin. You will see a message along with link to apply for main application from My Application page. Also, you will receive an email notification about your LOI being accepted.
I don’t have a mentor. Can ASH assist me in identify a mentor for me.
Yes, for certain awards such as MMSAP, VTP we assist applicants in finding a research mentor. For such awards, you can submit a Request a Mentor form from Open Awards page.
After Request a Mentor form is received, you will be contacted by a member of the ASH Committee to discuss research interests and provide assistance identifying potential research mentors. The following documents must be sent to the ASH member who will assist with the matching process:
- CV or biosketch (Standard NIH format)
- Personal Statement
ASH was not able to identify a mentor for me but can I still apply for the Award?
Yes, you can apply and submit the main application if we are unable to find a suitable mentor for you. In the Open Awards page, application cycle for the award will be open until the end date and if you are able to identify the Mentor yourself, you can enter the mentor details and submit the application. But please do note, your mentor should be an active ASH member for you to qualify for the Award.
I have a query related to my application, how can I contact the concerned Award Administrator to help resolve my query?
If you want to get in touch with the Administrator of your award, please post a question from the Awards site. You can find “Post a question” option from My Applications or My Questions page, select the award, an appropriate question area and type in your query.

How I do know my query has been responded.
If you have posted your query from the awards system, you can always check the response in the My Questions page. You will also receive an email notification when someone from ASH team has responded your query.
We request you to give us at least 2 business days to respond to your query. We go through all the queries received and respond to each one at our earliest possible time.
If our response does not answer your question, you can always ask follow up question on the response received.
My application was accepted for an award, how will I know if I have been awarded?
All the accepted applications are reviewed by the ASH study section committee and based on review scores given by the review committee applicants are selected for the Award. If your application is selected, you will be informed via an email on Approval.
In some cases you will be required to accept the awards. In such cases, you will also see a congratulation message in My Application page with a link to accept or reject the award.
Where I can see all my accepted awards?
You will have access to all the awards in My Applications page that you have applied till now in the new awards system. Active applications can be found in Active Awards and past applications under closed awards.
Alternatively, you can also view only the accepted awards ob clicking the Award Icon available on top right corner.
